Notice - Pest control at Winterhaven
To Winterhaven Unit Owners Association: We will begin monthly pest control services starting on Tuesday, April 27th, 2021 and will continue on the last Tuesday of each month up through October. I will be escorting the person from Orkin to all condos to spray in the kitchen, bathrooms and around entrances. We will enter under a "knock and enter" policy which means that the condo will be entered and treated if no one answers. Each owner is responsible for notifying guests and tenants of the scheduled pest control treatments and the policy by which the condo is entered. All units will be treated unless an owner specifically requests otherwise and the request is approved. Please contact me if you have any special requirements regarding treatment to your unit. Below is the link to pest control policy: Additionally, I have checked units to make sure which units, I (and only me) have access to and which I do not. I will be in contact with each owner that I do not have access but please remember that the association needs to have access to each condo for services like this or in case of an emergency. Porter, President WUOA Board of Directors Re: Update from your WUOA Board of Directors ------------------------------------------------------------------------------------------------------------------------------- First off, a belated Happy New Year and I trust that everyone is doing their best to maintain a healthy life / lifestyle during these challenging times. On behalf of your WUOA Board of Directors I would like to take this opportunity to provide a brief update on the operation and maintenance of our Winterhaven Condos and other issues of relevance to our Association. First off, we have had some shuffling of our Board members and positions. Cindy Sowder resigned from our Board and Brigitte Morgan is now on the Board. The current slate of Board members is as follows: Dwayne Porter (President) Laurie Pate (Vice President) Dave Asher (Treasurer) Krista Fink (Secretary) Greg Blackburn Josh Warden Brigitte Morgan Thanks to Cindy for her service to the WUOA and welcome Brigitte! Most of you are aware that Judy Hoops resigned her position as the WUOA Managing Agent and is enjoying a new phase of her life in FL! We owe Judy a debt of gratitude for all that she and Stefan did for our WUOA over the years! The WUOA has hired Cindy Sowder as our new Managing Agent. James (Jamie) Reeves has been hired as part-time maintenance support. We have also retained the services of TR Tax based in Beckley for bookkeeping services. Now that we are in the midst of ski season, some additional information to pass along. Rentals of the lodge are strong with weekends booked through at least the end of February. Good news is that the lighting for our parking area has been repaired and we again have a well lit parking area. The gravel road leading to our parking area and condos though, at least as of last week, was in very poor condition and in need of maintenance. Cindy has reached out to Winterplace concerning the condition of the road. The road is full of deep ruts and potholes making passage for vehicles with limited clearance a challenge even in the best of weather. We have also been made aware that concerns have been raised about loitering in the parking area and hassling of housekeeping staff and possibly of visitors and renters. This is not acceptable behavior and absolutely not a situation that any housekeeping staff, guests, or owners should ever be exposed to or encounter. We had a similar issue several years ago and the Board is reviewing options to address this issue to best ensure the safety of all our owners, guests, renters and housekeeping staff. In the event of such situations we encourage all to report such activities to rental managers of individual units and / or our WUOA Managing Agent (Cindy). In the event any person feels their safety is in danger they should move to a safe location and call 911. Long-Term Rentals (more than 30 days)
(Email sent to Membership 3/31/16) Notice: Off-Season Rentals Recall that the Association implemented a new policy a couple of years ago requiring each Owner to submit a lease addendum (and pet registration if pet is on premises) for renters staying more than 30 days. Last year, while most owners did comply with this requirement, we had a few that failed to submit the addendum within the specified time. Remember, it is your responsible to make sure the form(s) are submitted to Judy within 10 days of the move-in date of your tenants (please do not rely on your tenant to submit forms). The exterminator, accompanied by the Managing Agent, will enter under a "Knock and Enter" policy, which means that the condo will be entered and treated if no one answers. Each Owner is responsible for notifying guests and tenants of the scheduled pest control treatment and the policy by which the condo is entered. Cold Weather Energy Savings Tips
Tips for Saving Energy When During Cold Season 1. Check that your fireplace flue is closed. 2. If you have an electric fireplace, it is a good idea to: a. Tape off the flue open/close lever so that it is always in a closed position to keep guests/tenants from inadvertently opening it b. Stuff some insulation around the flue opening edges to completely stop any air flow. Even with the flue closed, there may be some air flow around the edges especially on a windy day. 2. Check your thermostats for the correct temperature settings (refer to the Association's Cold Weather Policy https://drive.google.com/file/d/0BzqOCvMWpLa0WEtpSFNicnNkTFU/edit?pli=1.) 3. Check that all the thermostats are working correctly (not that a thermostat is broken and a baseboard heater is constantly heating). 4. Check seals around doors. 5. Thicker curtains that remain closed during colder temps will save energy. |
Email from President sent to membership on 4/21/15
Winterhaven Owners, An email was sent to the membership on March 23rd advising and reminding you about pest control and also the requirement to submit a Winterhaven Lease Addendum for your off-season rentals. We had our first pest control visit of the season yesterday, and several tenants were upset claiming no one had told them about extermination and they were either reluctant or refused to allow the exterminator in the condo. Having to deal with and explain to agitated tenants the need for extermination adds time to an already lengthy process. Also, several condos appeared to be occupied by tenants staying 30 days or longer, but no Winterhaven Lease Addendum has been submitted by the Owner. Please let me make clear that the requirement to submit the addendum is mandatory. For your convenience, I've copied the email that went out on March 23rd below. In closing, if you haven't already done so - if you have a tenant in your condo, please turn in the Addendum to Judy right away and also make sure your tenants are aware of the pest control treatments taking place on the 3rd Monday of each month (usually between 11:00 am and 1:00pm). Also, if your tenants have pets, they must turn in the Pet Registration Form, which was voted on, for liability purposes, at last year's Membership Meeting. Something that might help: I include notification of the pet policy, exterminator visits (with Knock and Enter provision),
and the 'no grilling' policy in my lease agreements. Since the tenants
have to sign both the lease agreement and the lease addendum, they
should be totally aware of the policies. I also point out those
provisions in my conversations with them, just to be sure they know.
